Event Description

 

Holi Stalls Registration

Holi is a popular and significant Hindu festival celebrated as the Festival of Colours, Love, and Spring.

Check below the stall types and prices. 

  • Stall price includes 1 table, 1 chair and 1 person
  • Food Stall without electricity = 50 DKK + 10% commission
  • Food Stall with electricity = 150 DKK + 10% commission
  • Non-Food Stall = 0 DKK (FREE) + 10% commission

Electricity meaning for heating food, not cooking (We provide electricity, you need to bring your own heating unit example: microoven).

On approval of your application, we collect deposit 500 DKK (depends on application inputs), No deposit for Non-food. After event, we return the deposit on deduction of commission. 

If application not approved, we return back you the food stall price. You will know if approved or not by 2nd March 2025

Ex: if non-food stall, write what you like to sell the product like Sarees, handlooms, Henna, Cosmetics etc., If its food-stall, write the type of food with veg or non-veg. DRINKS stall NOT allowed included Mango Lassi, Chai/Tea. Write to indianassociationofdenmark@gmail.com

Terms and Conditions for stall/stand hire at our event (Incld. Hall rules)

Delivery of stall/stand: Deposit payment must be made in full upon approval of the stand. Indian Association of Denmark (IAD) reserves the right to accept or reject applications without explaining the reason. All decisions made by IAD are final.

Rules for stall/stand holders: The stands must be presented to a high standard and have a clear banner with information about products and prices. Stand holders may not use free space for advertising or expanding their stand space. Stands or parts of stands cannot be transferred or sold to others. Stand holders may only sell the products specified in their application. Violation of these rules will result in the cancellation of the stand or the removal of unauthorized products. Goods may not be hung in front of the stand or placed in the aisle area. IAD has the right to remove goods and equipment that are located outside the booth boundaries. Standholders may only operate within the assigned area and we advice all food stalls must have a plastic surface on the floor. Any attachment or mounting of equipment is prohibited. Alcohol is not permitted under any circumstances. Please note, that there may be other stallholders selling similar products or services to you.

Stand holders must keep their stand area and surroundings clean and tidy. If music is used, the sound level must be acceptable and not disturb other stand holders or participants. All stand holders are responsible for throwing their waste in the designated waste containers. After the event, all goods or unsold goods are removed and the stand must be left clean and tidy. Otherwise, a fee of DKK 500 will be charged. Use of inappropriate language or behavior that may lead to violations of the law or disturbance of other stand holders, IAD staff or guests is strictly prohibited. IAD has the right to suspend the person in question or company. Stand holders must show courtesy to other traders and guests at all times. 

Allocation of stall/stand space: The allocation of stands is up to IAD management. The placement of stands cannot be discussed. If a stand holder changes his stand without the consent of IAD, we reserve the right to move the stand if necessary.

Setup times: It is the stand holder's responsibility to comply with the specified set-up times. Arrival outside the set-up times results in the rejection of vehicles for unloading at the stand.

Stall/Stand responsibility: Stand holders must occupy and remain at their stand throughout the event. Participation for only part of the event is not permitted without prior agreement with the organizer. Stand holders must have sufficient staff to monitor their stand at all times. The organizers are not responsible for lost or missing goods.

Sizes and layout: Stand sizes may vary, but are expected to be 2m x2m with table size of 180cm x 76cm for non-food and food stalls. IAD will provide table and chair. Stand holders are responsible for bringing other necessary things like example signage, plates, spoons, etc., to their stall/stand.

Fire measures: Stand holders must follow the instructions of the authorities to avoid the risk of fire and other risks. All electrical devices must be safe and approved to gain access.

Other rules: Distribution of advertisements or flyers is strictly prohibited. Printed matter may only be distributed from your own stand and not from the surrounding area.

Termination of stands: IAD has the right to terminate a stand at any time if it does not meet appropriate standards. If stand holders wish to cancel their stand, they must give written notice no later than 4 weeks before the event. A fee of DKK 300 will be deducted. In case of cancellation less than 4 weeks before the event, the deposit amount will not be refunded. If no showup or cancelled one week of the event we charge 1500 DKK fine and no refund.

Postponement or cancellation: Stand holders cannot claim compensation from IAD for loss or damage during or in connection with the event. Stand holders also cannot claim compensation if the event is changed for any reason. Stand holders are, however, entitled to a refund of the payment if the event is cancelled.
